If you have lost a settlement cheque, have an out-of-date payment or have a query regarding a payment, our Payment Reissues team can assist you with obtaining a replacement.

Request the reissue of a cheque

If you have lost a cheque, or you cannot cash a cheque because it is out-of-date, it is possible to obtain a new payment.

To obtain a replacement for a lost or out-of-date payment, please write to us giving details of the settlement cheque that you need to replace. Please ensure that you:

1. State your ProSearch Reference; this can be found on your settlement letter or on any previous correspondence we have sent you. 
2. Write your name and address exactly as it is recorded on any of our recent correspondence to you.

  1. State the reason for the reissue of the payment.
    4. Return any relevant out of date ProSearch settlement cheque(s) which are in your possession.
  2. We ask that the signature of the shareholder or legal representative is showing on the letter.
  3. If you require your details to be changed, you will need to include supporting documentation for us to make the change.

Pay for reissued payments

Our standard policy is to deduct a fee for payments that are reissued. The fee levied for the reissue of a payment goes some way towards covering the administration costs involved in this process. In general, the higher the value of the payment, the higher the associated administration costs due to increased security checks that must be undertaken. Fees will be deducted before the payment is reissued. You will, therefore, receive the payment minus the applicable fee. Our standard fees for reissuing a payment are listed below:

Updating your details for a payment reissue

Additional charges apply where a change is required to your payment details to cover administration and postage costs. Charges will be deducted from the payment amount.

Request for a name change documentation

The type of documents required depends on the circumstance/reason for name change. Please check the following list for the documents that we will require from you.

Marriage
Marriage or Civil Partnership certificate

Incorrectly registered details
This depends on what is registered incorrectly:

For 2 characters or less and the name is not radically changed

  • Copy of a current full UK/EEA driving licence or current full signed passport.

Misspelt i.e. ‘Tracy to Stacy’ or Full name not registered i.e. Maggie instead of Margaret

  • Proof of holding or previously held registered address
  • Birth Certificate/Marriage Certificate or Letter from bank or solicitor confirmation needed

Divorce
Decree Absolute and Birth Certificate
(Scottish shareholders: Decree Absolute and only if maiden name not shown, Birth Certificate)

Dissolution/annulment of a Civil Partnership
Civil Partnership Dissolution Order

Name change for any other reasons
Change of Name Deed/Deed Poll

Corporate change of name
Certificate of Incorporation

 

Please note: An original or certified copy (by a bank or solicitor) of the supporting documentation is required for payment name change. ProSearch are unable to accept uncertified photocopies or photocopies of certifications. All original documentation will be returned to you once registered.

Request for a change of address documentation

Please enclose proof of both your new and old registered (previous) address.

New Address

Please provide 1 of the following documents as evidence of your identity and new address:

  • Most recent HM Revenue & Customs tax notification (not a P45 or P60).
  • Bank/building society/credit union statement or pass book – less than 3 months old.
  • Utility bill or statement (not mobile phone) – less than 3 months old.
  • Local authority council tax bill (valid for the current year).

Previous Address

Please provide 1 of the following documents as evidence of your identity and connection with the last address held address:

  • Most recent HM Revenue & Customs tax notification (not a P45 or P60).
  • Bank/building society/credit union statement or pass book.
  • Utility bill or statement (not mobile phone).
  • Local authority council tax bill.

Please note: An original or copy of the supporting documentation is required for address changes. All original documentation will be returned to you once registered.

Request reissue of payments for an estate

If you require a payment to be reissued following the death of the named investor or legal representative, we can only do this once the death has been registered with us. 

Please write to us enclosing an original or official copy of the Death Certificate, or a sealed or certified copy of the Grant of Representation.

Grant of Representation

General term which refers to any of the following:

  • Grant of Probate
  • Grant of Letters of Administration
  • Confirmation of Executor Dative (Scotland only)
  • Confirmation of Executor Nominate (Scotland only)
